POSITION: File Clerk
LOCATION: Montreal Lake 106A – Main Office
SALARY RANGE: $33,150.00 – $45,128.00 (ADSU)
SUPERVISOR: Case Management Supervisor
HOURS: Unless otherwise specified
Monday through Friday
8:30 a.m. – 4:30 p.m.
Two (2) 15-minute breaks
One half (1/2) hour lunch break
7.5 hours a day – 37.5 hours a week – 75 hours biweekly
ROLE: To provide clerical services in a well-organized and timely manner to all staff and clients of the Montreal Lake Child and Family Agency.
Note: This job description is not intended to be all-inclusive. The employee may perform other related duties as required to meet the ongoing needs of the Montreal Lake Child and Family Agency Inc.
DUTIES AND RESPONSIBILITIES:
- Act as the main personnel in charge of all client (parent and child) files
- Develop and maintain an efficient database, documentation and filing system for family services and protection staff such that information can be retrieved on request
- Receive and register documents as needed
- Ensure accuracy and integrity by identifying and clarifying any data entry discrepancies with the Supervisor
- Eliminate outdated or unnecessary material, destroying and transferring documents to deadwood storage according to file and/or legal requirements
- Find and retrieve files in response to requests from family services/protection staff
- Be responsible for the filing system including release and recovery of files by creating and maintaining a sign in/out system for all client files
- Provide general administrative support to staff as needed
- Provide back up and support to Administrative Assistants when needed
- Type and format a variety of documents including case summaries, legal documents etc.
- Ensure both parent and child files have matching documents as needed
- Ensure that all information pertinent to a client file is present and up to date
- Participate in training sessions, workshops and other short courses for the purpose of upgrading skills and keeping information and new developments
- Use various software including word, excel, power point etc.
- Monitor office supplies and research advantageous deals or suppliers
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clientele
QUALIFICATIONS:
- Proven administrative support experience
- Full comprehension of office management systems and procedures
- In depth understanding of Microsoft Office applications and office equipment
- Ability to take minutes for meetings
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- Ability to perform general administrative duties
- Driver’s license and access to a reliable vehicle is a definite asset
- Must be willing to work evenings and weekends
- Ability to work as a team player and independently
- Self-motivated, flexible, dependable and innovative
- Ability to problem-solve and resolve conflict
- Excellent interpersonal and communication skills as well as written, organizational and time management skills
- Computer literacy with particular proficiency in Microsoft Office applications
- Must be willing to work in Montreal Lake 106A and Little Red 106B
- Must be willing to sign and abide by the MLCFA Inc. Code of Conduct, including an Oath of Confidentiality
- Not to be actively involved with a First Nations Child & Family Agency and/or Department of Social Services as a client receiving Family Services and/or Child Protection Services
- Must be willing to submit a current CPIC and Vulnerable Sector Check upon hiring
